What's New for 2025

Happy New Year! We hope your 2025 is off to a great start.

The Zocks team is pleased to announce our first Product Update for the new year and it’s a BIG ONE!

But first, here is a quick list of some of the upcoming events we’ll be at. Let us know if there’s an opportunity to meet up in person. We’d love to connect and exchange ideas or just to say hi. We’ll also have some great Zocks branded swag for our customers to enjoy.

  • T3 - Technology Tools for Today (Dallas TX), Mar 3-6th
  • Future Proof Citywide (Miami FL), Mar 16-19th

These in person meet ups are also a great way to get sneak peaks on features we are working on and live demo sessions we are conducting. Hit reply to this email if you are planning to be at T3 or Future Proof Citywide and want to connect.

Key highlights in this update include:

  • AI Managed Client Profiles
  • Custom Data Sheets & Formfill
  • Zoho CRM support
  • AI-generated Meeting Titles and Meeting Types
  • Platform-wide PDF export option
  • Trigger workflows in Redtail
  • Custom Default Due Dates for Tasks

Client Profiles

We know that building and maintaining complete and accurate Client Profiles can be a challenge. Some of that data likely lives in CRM, some of it may be in past emails, and a lot of new or updated information is getting shared in your conversations and communications with clients in between meetings. Keeping all of that up to date isn’t easy… until now.

With this release, Zocks is rolling out enhanced Client Profiles that are dynamically created and maintained using Zocks’ Client AI which utilizes all of these structured and unstructured data sources. Client Profiles are now organized utilizing the FORM construct (Family, Occupation, Recreation, and Money).

You can access Client Profiles under Library > Contacts

Some key features:

  • Multi-source information is automatically aggregated - In practice, this means that Zocks will analyze past meeting summaries, information available in your connected CRM (field level data, notes, activities, archived emails, etc.) and information available from connected email sources (and more coming). Zocks will continuously build and maintain client profiles in the background without any manual action needed.
  • Data source citation & field-level history - The design also includes citations for the source of the data and field level history for data shown on a Client Profile. So you will always know the source of the data and when and how the data was updated. For example, you can see the base salary of your client that you learned during the initial onboarding meeting and how and when it changed over the years based on emails they sent or for example, phone calls you had with them. This will provide an audit trail for traceability and compliance purposes. This also lays the groundwork for future advanced analytics and insights into clients over time.
  • Support for custom workflows - Whether you need to utilize the Client Profile information for new client onboarding, a more specialized financial planning, estate planning or tax planning workflow, or any other type of custom workflow, you’ll be able to use a dedicated Client Profile to organize and track all the data needed.
  • Customizing Client Profiles - Zocks will include ‘System’ defaults for the data tracked and displayed for Client Profiles, but the design allows for them to be extended and further enriched with custom data. Custom data can come from conversations, or mapped from your CRM or other external sources by our Professional Services team.

Client Profiles has been designed to work for both new and existing customers. So even if you’ve been with us since the beginning, Zocks will be able to build Profiles from past summaries, and for new customers going forward.

As this is a very new concept, the insights and intelligence features will be rolled out first to our enterprise partners, but if you would like to join our Early Access Program just reply to this email, and let us know.

Formfill & Custom Data Sheets

Imagine creating a custom form for just about any purpose, and then having Zocks automatically fill it out with all of the data it has access to. Whether that’s past conversations, data in your CRM, custom data sources, emails and more. Well… with this update, you’ll be able to do just that.

With custom data sheets, you’ll be able to define fields by name and type and provide a brief description that works like a prompt, and Zocks’ Client AI will automatically fill in the data from all the connected structured and unstructured data sources it has access to after processing a meeting. Data sheets can be printed to pdf or saved to CRM just like meeting notes.

It was designed to support such workflows as suitability for recommendations and other compliance requirements, new client onboardings, financial plan development, new account openings and more. The use cases are endless!

Zoho CRM support

Adding to the quickly growing number of CRM systems that Zocks integrates with, we are excited to announce that Zoho CRM is now supported and available to all customers.

The integration supports:

  • Contact syncing between Zoho and Zocks
  • Saving Zocks Meeting Summaries to Zoho
  • Creating Tasks in Zoho
  • Meeting prep using Zoho data and past Zocks Meeting Summaries
  • Email reply generation
  • Zocks’ Client Profiles
  • Zocks’ Formfill

Zocks provides out-of-the-box smart defaults for Zoho users, but with our Elastic CRM layer, custom mappings for data objects and advanced workflows are also available.

If you have deep integrations with ANY of our supported CRM systems and use custom objects or have built custom automations, please reach out to our Professional Services team so they can help set you up with custom mappings to streamline how Zocks works with your CRM.

AI-Generated Meeting Titles & Meeting Types

In a continuous effort to reduce manual actions needed and making sure that the Zocks user experience is personalized to your needs, there are two new AI-based customizations available in the Zocks Platform.

  • AI-based Meeting Type Matching: Meeting Types in Zocks can include a variety of customization options from preset configuration, to meeting prep customization, to team-level settings for layout and content. Many customers have created an extensive list of Meeting Types to match their internal processes. With this update, Zocks will now be able to auto-select a Meeting Type to run based on the meeting title in a calendar event, an event description, and/or your previous Meeting Type preferences.
  • AI-generated Meeting Titles: Zocks will utilize the same meeting title from a calendar event when processing and naming a virtual meeting on the platform. But up until now, there was no meeting title applied to phone conversations or in-person meetings. With this update, Zocks will now use an AI agent in the background to analyze the meeting transcript and generate a meeting title based on the content. This should make it easier to identify meetings listed under the Past Meetings page.

You can enable both of these options under the Setup - Settings - AI Assistant menu.

Please help us with your feedback by filling in our short 4 questions survey.

Export to PDF

Based on popular demand, Zocks now has the ability to export content to PDF. This should support certain workflows where this is necessary to print out information from Zocks. This can be used with Meeting Preparation, Meeting Summaries, and Formfill Data Sheets.

Trigger Workflows in Redtail

After you have processed a meeting in Zocks, you can now trigger your pre-set workflows in your Redtail CRM right from the Meeting Summary page. The Zocks AI Assistant will suggest the most fitting workflow that matches your meeting contents, but you can also select a new workflow to start or progress an already running workflow.

This feature will be rolled out to all accounts in the next week.

Custom Default Due Dates for Tasks

You can now define a default due date for Follow-Up Tasks when pushing to your CRM system. For example, if your standard workflow is to get everything updated a week after the client meeting, you can now easily define that under Profile Settings > Integrations > Gear icon > Tasks. You can enter a custom value and it will be automatically calculated from the end of the meeting. This works for all supported CRM systems.
