November Product Update


It’s hard to believe it’s the end of November already!

We are back with another product update to share all the new features and enhancements we’ve added to Zocks in our November release.

Key highlights include:

  • Enhanced Meeting Preparation
  • New Phone call support for Shared Lines and Virtual Phone Solutions
  • ‘Ask Anything’ AI Assistant - new capabilities
  • Extended CRM integration capabilities
  • New Audio & Visual Compliance and Consent Notices
  • New Multi-factor Authentication support for Username and Password Authentication

Enhanced Meeting Preparation

The Meeting Preparation feature has been available for several months now and we've continuously monitored its performance and collected a lot of great customer feedback (thank you!) Based on your invaluable input, we’ve released the following enhancements:

  • New Defaults: For better performance right out of the box, we tweaked the default topics to now include a summary of the Contacts and Household, the client’s Financial Goals, Conversational Starters (Personal Ice Breakers and Financial Ice Breakers), a Proposed Agenda, and a summary of Past Meetings, and Previous Tasks.
  • Pre-Meeting E-mail is now a separate section and it can also be customized.

The Meeting Preparation defaults and email template can now also be fully customizable just like the Meeting Summary. Customization can be applied at both the Meeting Type and on the User Level (meaning Your Own template and the template for Your Team Members can be different).

Meeting Preparation is available from the Upcoming menu where a dedicated ‘Meeting Prep’ button is shown next to each upcoming Virtual Meeting on your Calendar. Or you can search for your client's name under the Contacts menu and click on the Zocks AI assistant dropdown (best option if your upcoming meeting is In-Person or a phone call). These both search in the contact's context and will pull data from Zocks and your connected CRM as well. This is further enhanced by our interactive AI Assistant which you can instruct to add more details, change the content or search for more necessary information as you see fit.

Phone Call support for Shared Lines and Virtual Phone Solutions

Zocks now has full 360-degree coverage for Phone Calls. Whether you are using your personal mobile number, a landline, an office phone with shared call-out numbers, VOIP, or UCaaS solutions like RingCentral or Teams (Skype for Business), you can add the AI Assistant to the call and Zocks will process a meeting summary. Here are some options for linking your phone solution and verifying the number with your Zocks account:

  • Mobile Phones can be linked to your Zocks account, and after the verification process and adding the AI Assistant to your contacts, it is easy to join Zocks into a Group or Conference call on your mobile phone.
  • Landlines work similarly to Mobile lines, once you link your line and use the Voice Code verification during set up.
  • For the most popular software-based call-out or call center solutions like RingCentral, Zocks has built-in connection settings now. If you can’t find your preferred provider on the defaults list, you can just call the Zocks Assistant phone number with the unique extension or add it to an ongoing call.
  • For shared lines, where you use the same call-out number with your colleagues or ad-hoc calls where you don’t have time to link your phone number - you can use the Zocks Assistant phone number and type in the unique extension code to have Zocks join the call.

We’ve seen a lot of phone calls processed in the last month and with these additional options, this should cover the full spectrum of phone platforms, allowing you to fully utilize the Zocks AI Assistant no matter which phone solution you use.

‘Ask Anything’ AI Assistant - New capabilities

‘Ask Anything’ is one of our user-favorite features, and as its name implies, can answer a myriad of queries based on past meeting information and contact information in Zocks, and information stored in your connected CRM. This can be especially handy if you or your staff need answers quickly or can’t easily find earlier references or mentions.

The new Ask Anything has been fully revamped and includes new capabilities. It now provides even more detailed results, and displays the source of the information, with direct links to the source of the information. You can use this to determine which meeting your client shared their salary information or what tasks you agreed on, and link in for further review.

More Extensible CRM Integration Capabilities & Updates for Salesforce, XLR8, Practifi

CRMs are not only important, they are vital in your everyday workflows. Our integrations with CRMs are one of the most essential data sources for the Client Intelligence in Zocks.

With this update, we’ve further expanded the CRM integration capabilities and have added new smart defaults for ‘Salesforce Overlay’ solutions like XLR8, Practifi, and Salentica Elements.

For customers that have custom data objects in Salesforce or Salesforce Overlays, we’ve further enhanced our CRM Integration Layer to provide more flexibility and ease in mapping the Zocks structured data into specific objects, and how the data is stored. This will allow support for even more complex setups and use cases, and allow for easier customizations. This also opens up new possibilities to workflows that were not previously supported, like writing the same data to two different objects simultaneously.

Audio & Visual Compliance and Consent Notices

Data privacy and staying compliant is critical in maintaining client trust. With this update, we’re introducing new compliance and client consent features that work with our existing Compliance Capture feature in the platform.

Customers can now enforce the use of these features, and utilize the default settings or create custom notices for use with clients.

Audio Announcement

You can now enable an Audio Announcement for when Zocks joins a meeting. The audio played can announce that an AI note-taker is participating in the call. We’ve created a default message to be played, but this can be customized with your own message, unless your Account Owner or firm enforces a specific message on your account.

Visual Display

As an additional option, Zocks can now also display a custom image with a disclaimer when joining a Zoom call (Additional platforms will be supported in early 2025). Like the Audio Announcement, this can be customized with your own message, unless your Account Owner or firm enforces a specific message on your account.

The custom image can also be used to display your firm's company logo.

Multi-Factor Authentication (MFA)

To date, we’ve supported MFA with Single-Sign On, but we’ve now added the ability to also support MFA with username and passwords. We’ve also added support for Authenticator Apps or Text Messages for authentication.

Account Owners and site Administrators also have new controls for tracking if users have enabled MFA or not, or can enforce the use of MFA on all users under their account. Account Owners and site Administrators can also help users if they don’t have access to their mobile device or get locked out of their account.
